Cello: how to connect people and mission with a social intranet

We all know that these are not easy times for healthcare organizations. Healthcare workers are scarce and budgets are shrinking. As a result, organizations are forced to use precious manpower more efficiently. That means making the job easier and putting the focus (back)on what really matters: worry.

Cello, a healthcare organization dedicated to a good life for people with intellectual disabilities, also felt the need for efficiency. They therefore launched CelloNet, a new social intranet, as part of their efforts to work more efficiently. This intranet is fully tailored to the needs and wishes of employees throughout the entire process, just as they do for their clients in healthcare. And even now that the intranet has already been launched, they are still constantly adjusting it. So that it remains a valuable resource for employees, also in the future.

Cello’s mission: the unique human being at the heart of the organisation

For Cello, nothing is more important than providing humane and professional care to their clients. They support people with intellectual disabilities in their self-development and guide them in a life with as much room for autonomy as possible. Cello employees listen to the wishes and needs of clients. And search for new ways to work on a quality life. 

Putting people at the centre and paying attention to their wishes and needs is also what Cello does internally. By listening, they discovered that the existing intranet did not support employees enough in their work. In addition, it no longer adequately corresponded to the ambitions of the organization. The new intranet, CelloNet, had to contribute better to Cello’s mission and help employees to do their work more efficiently, so that they can better put the client at the center. 

Throughout the project, Cello’s mission and core values have been guiding. In addition to the added value for the organization, the needs of employees were an important starting point for the new intranet. That is why we have comprehensively involved the care workers at every step. We did this, among other things, by having some healthcare workers participate in workshops. These delegates gathered input from their colleagues in advance and took it with them to the workshops.

Small launch, big impact

The input from healthcare workers led us to make different choices in the design than we thought in advance. Often we see that the news is most prominent on the homepage of an intranet. At Cello, news turned out to be important, but the application portal and emergency numbers turned out to be at least as important for the healthcare workers, because they need to have quick access to them during their daily work. We have therefore arranged the homepage in such a way that these three parts were given an equal position. This helps to make CelloNet contribute to the work to the maximum. Incidentally, this is also one of the factors that has a positive contribution in the adoption of an intranet.

And for the launch, this time we did not opt for a grand launch campaign to alert employees to the arrival of CelloNet and to make them curious. Due to the increasing pressure on the care, this did not feel appropriate. Employees already have little time, and we did not want to demand even more time and attention from them. That’s why we chose to keep the launch small. We communicated via the line and in communication we focused more than ever on the usefulness of CelloNet and how the new platform helps employees in their work. 

We have supported managers as much as possible. Instead of a one-size-fits-all approach, each manager could indicate where he or she could use help to bring CelloNet closer to the employees. We:

  • Hosted webinars for executives, with the theme ‘What’s in it for them’ to help them think from the perspective of their team members. 
  • They were ready to offer a trainer at the different locations.
  • Created instructional materials, such as a quick start guide, a signpost, and an executives toolkit (with ready-made texts to share with the team).
  • Did the communication department staff complete a community management training so they can manage their own communities. 

Adoption only really starts after the launch

Then the intranet is launched, but that does not mean that the work is over. In fact, it’s only just beginning. Getting employees to the intranet is one thing, getting them to come back every time is the challenge. Therefore, continuous attention continues to be paid to improving CelloNet. They continue to talk to employees to ensure that CelloNet is and remains of added value for them and their work. They do this, for example, by joining team meetings.

Daarom zitten we nu nog volop in het adoptieproces om CelloNet relevant en waardevol te laten blijven. We zijn nu onder andere bezig om nog beter aan te sluiten bij de behoeften van de zorgteams en om de digitale vaardigheden van medewerkers te versterken door trainingen aan te bieden.”

CelloNet connects and inspires

From different corners of the organization we hear positive reactions. In a poll on CelloNet, more than half of the respondents say they are happy with the arrival of CelloNet. In the month of going live, around 1,600 of the more than 2,500 employees had logged in at least once. Personal stories are regularly shared in the timeline, so far around 1,800. These are well viewed and liked and they receive a lot of comments. The news reports from Cello that contribute to more alignment with the vision of the organization are also well viewed. And because Cello continuously tests the added values for practice, we have full confidence that CelloNet is used for what and as it is intended.

A tailor-made collaboration

We look back with pride and pleasure on the collaboration with Cello. Together we have created a beautiful intranet that makes a valuable contribution to the work and ambitions of the organization. We find it special to see how the human-oriented approach of Cello flows into everything they do. This kept us sharp and it made sure that we put the interest of the healthcare workers first at all times. Thank you Cello, for this great collaboration!
